About the Team: In this role you will provide coordination and administrative support to the Supply Chain & Operations leadership organization, with a primary focus on enabling the effective execution of strategic priorities, leadership routines, business planning, and operational initiatives. As Coordinator, Operations Strategy, you will partner closely with the VP, Americas Omni Operations, the Senior Manager, Strategy & Projects, and the broader Operations leadership team to keep leadership routines, communications, projects, travel, meetings, and business planning activities organized and moving forward. Your Role as Coordinator, Operations Strategy: • Coordinate complex calendars and meeting schedules for the Supply Chain & Operations leadership team, including prioritizing needs and resolving scheduling conflicts. • Coordinate domestic and international business travel, itineraries, meeting logistics, and related arrangements. • Organize leadership meetings, recurring business routines, offsites, and other organizational events. • Prepare meeting agendas, materials, presentations, business reviews, leadership updates, and other documents as needed. • Maintain leadership meeting calendars, action items, follow-ups, deliverables, milestones, and key deadlines. • Coordinate communications and information flow across the Operations leadership team and cross-functional partners. • Support the Senior Manager, Strategy & Projects and Operations leadership team in coordinating strategic initiatives, project plans, timelines, trackers, and status updates. • Support annual planning, quarterly business reviews, organizational planning processes, and collection/consolidation of information from Operations leaders and partners. • Maintain organizational information, calendars, contact lists, reports, presentations, and other business resources. • Coordinate activities associated with leadership transitions, organizational changes, vendor/facility/meeting/event logistics, and other business events. • Assist with expense-related documentation and identify opportunities to improve administrative and coordination processes. • Provide back-up coordination support for other members of the Operations leadership team as needed. • Handle sensitive and confidential business, employee, and organizational information with appropriate discretion. What is needed to succeed: • 2+ years of experience in business administration, operations coordination, project coordination, executive support, or a related field. • Experience supporting senior leaders or cross-functional teams preferred, Equivalent combination of experience and education accepted. • Strong organizational and time-management skills with the ability to manage multiple priorities, deadlines, meetings, and projects. • Excellent written and verbal communication skills with the ability to communicate clearly and professionally with employees, leaders, and cross-functional partners. • Strong attention to detail, follow-through, and execution orientation. • Demonstrated ability to handle confidential and sensitive information appropriately. • Proficiency with Microsoft Office, including Outlook, Word, PowerPoint, and Excel. • Ability to work effectively across functions, geographic locations, and time zones. • Ability to operate in a fast-paced environment and adjust priorities as business needs change. • Problem-solving and adaptability with the ability to resolve routine coordination challenges and escalate matters appropriately. • Continuous improvement mindset with the ability to identify opportunities to simplify processes and improve organizational effectiveness.
